2. Desktop, Laptop and Other Computing Equipment
The following AUPs apply specifically to users of:
- Desktop computers, laptop computers, and other computing equipment, and software, network components, telematic technology (e.g., Global Positioning System (GPS), cellular and/or wireless services) and infrastructure used to create, store, retrieve, distribute and print electronic and non-electronic GM Records;
- Employee-owned or contractor-supplied computing resources and devices when used to access GM Information Resources;
- Electronic GM Records created using desktop applications such as Microsoft Office applications, engineering applications, and others that reside on a user’s desktop, laptop, personal digital assistant (PDA) (such as a Palm Pilot) or other similar equipment, BlackBerry devices, cell phones and pagers with text messaging capabilities, fixed or portable media storage; and
- Non-electronic GM Records, such as paper, microfilm, microfiche and other types of media located within a user's physical workspace (such as desk drawers and file cabinets), or in other facilities where GM Records are stored:
- Using Computing Equipment as Business Tools. Computing equipment (desktop, laptop and other computing equipment and peripherals) and associated software are provided by GM to users as tools to support GM business operations and user job-related functions, and are subject to the AUPs governing all GM Records and GM Information Resources.
- Non-GM Computing Equipment Subject to AUPs. Employee-owned or contractor-supplied computing equipment is also subject to the AUPs governing GM Information Resources to the extent that it is used to create, distribute and print GM Records or access GM Information Resources, including the requirements set forth in the Record Retention Policy and Schedule.
- Retention and Retrieval of GM Business Records. GM Business Records in all forms (electronic and non-electronic) must be retained in accordance with the Record Retention Policy and Schedule. Although users may work on GM Business Records at home or other remote locations, they are never to be stored there, unless specifically approved by local GM management. If approved, the decision to store records at home or a remote location must be documented and retained by local management. This is true for all electronic and non-electronic GM Records. They must be maintained in accordance with the Record Retention Policy and Schedule at a location authorized by the GM Organization that is responsible for the GM Business Record.
- Users Must Follow Management Directives. Users must follow all local and corporate management directives governing use of GM Information Resources, including those related to software and hardware component installation, and remote access to GM's infrastructure or network.
- No Unauthorized or Illegal Software or Files. Users must not load or install unauthorized or illegal software on GM-provided computing equipment, including but not limited to, personally owned images or software, freeware, shareware, games, music or movies (e.g., MP3 files), screen savers, graphics, web browser “plug-ins,” or software that may expose the company to copyright infringement claims, or interfere with proper operation of the computing equipment. GM reserves the right to remove any unauthorized or illegal software on GM-provided computing equipment without notice to the user. In appropriate cases, GM may also seek to recover the costs for rebuilds or other expenses associated with the use or installation of unauthorized or illegal software on GM computing equipment. Also, users must not copy software on GM computing equipment for installation on home or other computers. Users who are aware of misuse of software or related documentation must immediately report the matter to GM management or the GM Awareline. A deviation process exists for obtaining approval for installation of non-standard hardware and software.
